Deposit, Payment & Cancellation Policy

We’ve created these policies to keep things fair and consistent for all clients, while making sure your pets receive the care they need.

🐾 Multi-Day Care

(Overnight Pet Sitting, Live-In Care, 24-Hour Companion Care, Twilight Tuck-In & Breakfast)

  • Deposit: 50% due at booking.

  • Balance:

    • Regular bookings → due 14 days before service.

    • Holiday/peak bookings → due 30 days before service.

    • Out-of-area bookings → same timelines, but all payments are non-refundable once paid.

  • Cancellations:

    • 5+ weeks before → Deposit refunded.

    • 4–5 weeks before → 50% of deposit refunded.

    • 1–4 weeks before → Deposit not refunded.

    • Less than 14 days (regular) / 30 days (holiday/peak) → Balance due in full, not refunded.

    • Less than 7 days → Full booking fee not refunded.

  • Short Stays (1–2 nights): If cancelled within 7 days of service, full fee is due.

 

🐕 Single-Day Services

(Drop-Ins, Dog Walks, Potty Breaks, Adventure Walks)

  • Deposit: 25% due at booking.

  • Balance: Due 3 days before service.

  • Cancellations:

    • More than 3 days before → Deposit kept as credit for future booking.

    • Within 3 days → Full booking fee not refunded.

    • Same-day/no-show → Charged in full.

  • Note for existing clients: Some long-standing clients may still receive weekly invoices while we transition to the new system.

 

Last-Minute Bookings

  • Definitions:

    • Multi-day = within 7 days.

    • Single-day = within 72 hours.

  • Payment: Full payment due at booking, non-refundable.

  • Fees:

    • Same-Day Bookings:

      • Drop-In or Walk → +$10

      • Adventure Walk → +$15

      • Overnight / Live-In → +$50

    • Short Notice (not same-day, but still last-minute):

      • Drop-In or Walk → +$7

      • Adventure Walk → +$10

      • Overnight / Live-In → +$25–$40 (depending on length/complexity)

 

🎄 Holiday & Peak Surcharges

  • Multi-Day Care:

    • +15% Seasonal Peak

    • +30% Standard Holiday

    • +50% Special Holiday

  • Single-Day Services:

    • +$5 Seasonal Peak

    • +$8 Standard Holiday

    • +$12 Special Holiday

  • Only the highest surcharge applies.

  • Payments:

    • Multi-Day → Balance due 30 days before service.

    • Single-Day → Balance still due 3 days before service (even during holiday/peak periods).

  • Refunds: All payments during Holiday & Peak periods are non-refundable once paid but may be applied as a credit at DOVI's discretion.

 

🚗 Travel & Out-of-Area

  • Standard area: within 15 km of Gordon Head.

  • Extended: 15–30 km → $0.72/km (round trip).

  • Out-of-area/long distance: Beyond 30 km (Malahat, Gulf Islands, etc.) → $0.72/km (round trip).

  • Out-of-area bookings follow multi-day timelines, but all payments are non-refundable once paid.

 

💳 Payments

 

Early Returns

  • No refunds once service begins.

  • Exceptions may be made for family or pet emergencies.

 

💡 Refunds

  • Any refunds are issued by e-transfer only.

 

Late Payments

  • If payment is not received by the due date, services may be cancelled and deposits forfeited.

  • Overdue balances accrue 2% interest per month (minimum $10 charge).

 

🌸 Flexibility

We know life happens. These policies are here to protect availability, but DOVI may make exceptions for emergencies or long-standing clients at our discretion.
